Penanganan surat organisasi merupakan salah satu kegiatan sehari-hari dalam suatu organisasi besar atau organisasi kecil. Surat-surat yang masuk dan keluar biasanya diurus oleh satu petugas yang terkadang mempunyai profesi ganda dengan melakukan tugas-tugas lain selain mengurusi surat masuk atau keluar. Dalam organisasi tertentu baik besar atau kecil pengurusan surat-surat dapat dikerjakan oleh masing-masing bagian atau agar lebih fleksibel dan tidak mengganggu pengerjaan lain biasanya dipusatkan pada bagian khusus yang sering dikerjakan oleh bagian ekspedisi. Ekspedisi ini dianggap lebih baik karena hanya mengurusi pengiriman dan penerimaan surat-surat yang masuk juga surat-surat yang keluar.
Surat-surat yang diterima dalam suatu organisasi atau kantor berbagai macam dan jenisnya seperti surat pribadi, surat niaga, surat dinas. Dan surat-surat seperti itu digolongkan sebagai surat biasa, surat penting atau surat-surat rahasia. Dalam hal penanganan surat organisasi atau kantor mempunyai beberapa kriteria yang patut diperhatikan, diantaranya adalah:
- Membutuhkan penanganan dengan segera dan cepat.
- Apabila terjadi keterlambatan, maka dapat merugikan organisasi
- Apabila terjadi hilang, maka sulit ada gantinya.
- Memerlukan imbal balik
- Kadang-kadang informasi pada surat tersebut tidak dijumpai dalam surat lain.
Melihat lima kriteria tersebut maka diperlukan petugas yang profesional dibidangnya, akan tetapi bila tidak ahli dalam penanganan berbagai surat-surat maka diupayakan dan membutuhkan jasa dibidangnya, dan jika ingin penanganan lebih lanjut, boleh meminta jasa kepada REGUS yaitu perusahaan penyedia layanan khusus penanganan masalah perkantoran.
